Laneflare is dispatch and transportation management software for trucking companies ("customers"). This policy explains what data Laneflare handles, why, where it is kept and how it is deleted. Questions: hello@laneflare.com.
Who this covers
The website laneflare.com, and the Laneflare application used by our customers and their staff. Customers decide which mailboxes, load boards and other sources they connect to their workspace; for that data we act on the customer's instructions.
Data we handle
- Account data: names, work email addresses and roles of users the customer invites.
- Operational data: loads, trucks, drivers, brokers, rates, documents and notes that the customer enters or imports.
- Connected sources: load board alerts and emails, vehicle locations from fleet telematics, and broker credit or registration data that the customer chooses to connect.
- Gmail data, when a customer connects a Gmail mailbox (see below).
- Technical data: server logs and error reports needed to run and secure the service.
The website itself sets no advertising or analytics cookies.
Gmail data
A customer may connect a Gmail mailbox it uses to work with freight brokers. Laneflare then requests these Google permissions:
- Read email (
gmail.readonly): to bring new messages into the customer's workspace, turn load offers into load records, and show each conversation with a broker next to the related load. - Send email (
gmail.send): to send a quote or reply from that mailbox, only when a user of the customer clicks Send.
Laneflare does not change labels, move or delete messages in the mailbox.
Laneflare's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
In particular, Gmail data:
- is used only to provide and improve the user-facing features described above for the customer who connected the mailbox;
- is not sold, not used for advertising, and not used to build user profiles for any other purpose;
- is not used to develop, improve or train generalized AI or machine-learning models;
- is not read by people at Laneflare, except with the customer's permission for a specific message, for security reasons, to comply with law, or when the data is aggregated and anonymized for internal operations.
How we use data
To provide the service the customer signed up for: show and match loads, calculate rates, send quotes, track trucks, keep an action log, and support the customer. We do not sell personal data and do not use customer data for advertising.
Where data is stored and who processes it
Data is stored on servers we operate. Infrastructure providers that host or deliver the service (for example, Cloudflare for email delivery and network traffic) process data only to provide that service to us. Access tokens for connected accounts are stored encrypted and are used only by the Laneflare server.
Retention and deletion
- Data stays in the customer's workspace while the customer uses Laneflare.
- A customer can disconnect a mailbox at any time in the workspace settings or in its Google account (Security → Third-party apps with account access). New mail stops being read immediately.
- On request to hello@laneflare.com, or when the customer's contract ends, we delete the customer's data, including stored Gmail messages, within 30 days, after first offering an export (CSV/JSON), and remove it from backups as they expire.
Security
Personal accounts with roles, encrypted connections (HTTPS), encrypted storage of credentials and tokens, and access limited to the people who run the service.
Your choices
Users can ask their company's Laneflare administrator, or us, to access, correct, export or delete their data. Contact hello@laneflare.com; we answer within 30 days.
Changes
We will post changes on this page and update the date above. Material changes are announced to customers by email before they take effect.
